Document Authentication California

If your documents have been issued or notarized by the State of California, you’ll need to obtain an authentication from the California Secretary of State before you can send your documents to another country.

The country of destination determines if your document will receive a California Apostille or California Certification.

Below is an example of a California Certification and a California Apostille.  Both of these documents have been authenticated by the California Secretary of State.

The difference between these documents is the California Certification (document on the left) is used for countries who are NOT members of the Hague Apostille Convention while the California Apostille (document on the right) is.

The Secretary of State will authenticate the signature of the official who signed the document including the signature of the notary public.

We can only process documents issued from the State of California. These documents include: Birth Certificate, Death Certificate, Marriage Certificate, Divorce Decree signed by the Superior Court, and more.

It’s important to send us your original certified documents and not copies. Birth, Death, and Marriage certificates need to be certified originals signed by the County Clerk Registrar Recorder’s Office.. Any document related to a divorce needs to be stamped by the California Superior Court. If you are unsure if your documents are an original, give us a call. Copies are not acceptable.

We can also obtain a California Apostille for documents notarized by a California notary only. These documents include: Copy of Driver License, Copy of Passport, Affidavit, Power of Attorney, School Transcripts, and School Diploma.

Before mailing in your documents to our office, it’s important that you contact us. You maybe required to scan and email us a copy of your documents for verification as some documents may not qualify for an Apostille or it’s possible the documents have not been notarized correctly.

California Secretary of State Apostille Certification

The California Secretary of State provided document Certification for countries which are non-members of the Apostille Convention.  This allows individual and companies to produce legal documentation to another country (which is not a member of the Apostille Convention) as evidence to it’s authenticity.

The following countries are non-members of the Apostille Convention and will receive a Certification from the California Secretary of State:

A California Certification issued by the California Secretary of State authenticates the signature (and the capacity of who placed it) and correctness of the seal/stamp on the document.  Also, the certification does not certify the contents of the document for which it was issued.  Another words, the information written on the document will not be checked by the California Secretary of State.

Notice that the blue-bordered Certification is placed above the signature page and stapled twice and stamped with the California Secretary of State red seal.  This red seal is used for both obtaining an Apostille and Certification.

Notary Authentication Los Angeles

Are you looking to authenticate your documents in Los Angeles?  We provide Los Angeles notary document authenticated service everday from 8am to 10pm.

A notary authentication in Los Angeles verifies that the notary’s bond was registered in Los Angeles County, commissioned by the State of California, and was active at the time of notarization. The Los Angeles Registrar-Recorder/County Clerk nor the notary public will validate the information written in the documents.

All seals and signatures of the notary must be original as the Registrar-Recorder/County Clerk will check them in their computer database for accuracy. The seal must clearly show the name of the notary, commission number and date of expiration.  There is small fee for each notary signature authenticated.

Please note that in order for the documents to be authenticated at the Los Angeles County Clerk’s office, the notary must be bonded in Los Angeles County.  It’s important to check with the notary to make sure the seal and bond is filed with the County of Los Angeles.

Some documents may need authenticated on the State level rather than the county level.  If the documents you have is of California origin (death, birth, marriage, divorce, power of attorney, affidavit, etc…) and requires a California Apostille, then the document will need to be authenticated by the California Secretary of State in Los Angeles.

California Apostille, Certification, and Authentication

There are many ways to obtain authentication for your documents in California.  If you need your document authenticated by the California Secretary of State, the country of destination determines whether the authentication is an Apostille or a Certification.

A California Apostille is attached to a document whose country is a member of the Apostille Convention.  If the country is not a member of the Apostille Convention, then the California Secretary of State will attach a Certification.
